Job Description:

The Operations Lead is responsible for ensuring seamless collaboration between the Brand Team and the Creative In-House Team. This role drives operational excellence by managing project workflows, coordinating resources, and ensuring all creative projects are delivered on time, within scope, and to the required quality standards.

The Operations Lead also oversees operational processes, project management tools, and ways of working to improve team efficiency, optimize resource utilization, and support business objectives.


Key Responsibilities

1. Project & Workflow Management

  • Manage the end-to-end workflow of creative projects from request intake to final delivery.
  • Coordinate project timelines, priorities, and resource allocation across multiple stakeholders.
  • Monitor project progress and proactively resolve bottlenecks to ensure timely delivery.
  • Ensure all deliverables meet agreed timelines, quality standards, and business requirements.
  • Track project status and communicate updates to stakeholders on a regular basis.

2. Cross-functional Coordination

  • Act as the primary liaison between the Brand Team and the Creative In-House Team.
  • Facilitate effective communication between internal stakeholders to ensure project alignment.
  • Coordinate meetings, project kick-offs, and regular status reviews.
  • Build strong working relationships with cross-functional teams to support business objectives.

3. Operations Excellence

  • Develop, implement, and continuously improve operational processes and standard ways of working.
  • Ensure consistent adoption of project management tools, workflows, and best practices.
  • Identify process improvement opportunities to enhance team productivity and operational efficiency.
  • Maintain documentation, project trackers, and operational guidelines.

4. Resource Planning

  • Coordinate resource allocation based on project priorities and team capacity.
  • Monitor workload distribution to optimize team utilization.
  • Support planning activities to ensure sufficient resources for ongoing and upcoming projects.

5. Reporting & Performance Tracking

  • Monitor operational KPIs, project timelines, and team performance metrics.
  • Prepare regular reports and dashboards for leadership.
  • Analyze operational data and provide recommendations to improve delivery performance and resource efficiency.

6. Continuous Improvement

  • Identify risks, dependencies, and operational challenges.
  • Recommend and implement process improvements to strengthen collaboration and execution.
  • Support change management initiatives related to new tools, systems, or operational processes.


Requirements

Education

  • Bachelor's degree in Business Administration, Marketing, Communications, Project Management, or a related field.

Experience

  • 4–6 years of experience in Project Management, Operations, Business Support, Account Management, or Creative Operations.
  • Experience working with creative, marketing, or branding teams is highly preferred.
  • Experience in FMCG, agencies, or multinational companies is an advantage.

Technical Skills

  • Strong project management and stakeholder management skills.
  • Proficient in Microsoft Office (Excel, PowerPoint, Outlook).
  • Experience with project management platforms such as Asana, Monday.com, Jira, Trello, Workfront, or similar tools.
  • Strong reporting and analytical skills.
