Job Description:

Position: HR Officer

Working location: Floor 6–7, Office Area, 277 Vo Nguyen Giap Street, An Khanh Ward, Ho Chi Minh City, Vietnam

Working time: Full-time, Monday–Friday, 9:00 AM – 6:00 PM

Key Responsibilities:

  • Manage end-to-end HR Operations activities including onboarding, offboarding, internal transfers, employee records, labor contracts, appendices, secondment letters and NDA tracking.
  • Collect, verify and maintain employee documents such as ID/passport, qualifications, criminal record check, health check and other required certifications.
  • Support employee benefits administration, including medical insurance, life insurance, allowances, annual health check and other employee programs.
  • Coordinate onboarding/offboarding logistics for both local employees and expatriates when required.
  • Consolidate monthly payroll input including new hires, leavers, salary adjustments, promotions, bonuses, allowances, attendance, unpaid leave and overtime.
  • Work with payroll vendors/internal stakeholders to review payroll, PIT and SHUI-related data, and follow up on discrepancies when needed.
  • Support PIT declaration, annual PIT finalization, income confirmation letters and PIT withholding certificates.
  • Manage SHUI reporting, monthly reconciliation and social insurance claims such as sick leave, maternity leave and other statutory claims.
  • Support visa, work permit, work permit exemption and TRC documentation for expatriates and their dependents.
  • Track expiry dates and coordinate renewal/cancellation processes for visa, work permit and TRC when required.
  • Maintain accurate employee data in HRIS/internal systems, including reporting lines, cost centers, approval matrix and other employee information.
  • Support HR workflow tracking for onboarding, offboarding, leave, overtime, performance review and work permit renewal reminders.
  • Assist in implementing HR policies, employee handbook, internal regulations, SOPs and other governance documents.
  • Prepare HR reports, statutory reports and management reports related to headcount, payroll, SHUI, PIT, labor, foreign workers and employee cost data.
  • Coordinate with HR, Legal, Finance, vendors and government authorities to ensure HR processes are compliant and completed on time.
  • Provide general HR support and handle other tasks assigned by the manager.

Requirements:

  • At least 2–3 years of experience in HR Operations, with strong focus on C&B, payroll, HR administration and statutory compliance.
  • Good hands-on experience in payroll input preparation, payroll checking and payroll-related data management.
  • Prior experience handling full-cycle payroll calculation is highly preferred, especially for organizations with headcount of more than 300 employees.
  • Good understanding of PIT, SHUI, labor contracts, employee records and other HR statutory documentation.
  • Familiar with monthly SHUI reporting, PIT declaration, PIT finalization and related employee income documents.
  • Willing to support work permit, visa, work permit exemption and TRC processes for expatriates and their dependents when required.
  • Strong attention to detail, well-organized and able to follow deadlines accurately.
  • Good communication skills in Vietnamese and English.
  • Proficient in Excel/Google Sheets; experience with HRIS is preferred.
  • Service-minded, proactive and able to work with multiple stakeholders.
