Job Description:

Working place: 156 Nguyen Luong Bang, Tan Phu Ward, District 7, Ho Chi Minh City

Working hours: Monday – Saturday, 9:00 – 18:00


1. Main responsibilities:

System support:

Assist ABM and Brand team to input and consolidate information in relevant systems:

- Listing preparation: new launch, sampling, brand activation’s needs, transportation

COUPA process and following up for approval

Gift/Sampling management – UGIFT system

Paper work:

In charge of getting all paper work sign off, document storage and mailing

- Censorship paper with Government: TVC, Print, Outdoor, Product notifications

Handle with MoC for promotion, sampling program, contest announcement

Contract management: check with Legal, sign off contract follow up

Invoice & payment administration, stationery order

AW administration: storage by projects, by timing, storage hires file with designers

Logistics:

In charge of arranging and booking facilities

- Book meeting room & LCD

Logistics for team building

Logistics for team business trips: flight tickets, hotel booking, TES claim

Consolidation of taxi vouchers, leave records and send to relevant approver

Logistics for samples/documents – Viettel Post/DHL

AW and POSM follow-up:

In charge of tracking products, POSM delivery and quality for brand activations

- Prepare products for sampling, product display storage & follow up with agencies

Follow up on POSM stock in agency warehouse

Assist ABM (when needed) in checking quality & quantity of activation materials (main responsibility remains with ABM)

Budget Tracking:

Follow up scheme utilization matched with COUPA

Support Assistant Brand Manager (ABM) to check budget utilization versus scheme creation (with Accounting team)

Competitor Information Consolidation:

Collect competitor information regarding new products, pricing updates, etc.

Activation & Promotion Deployment:

Follow up with agencies & suppliers on activation design, execution schedule, and gift management

Explore promotional gifts, coordinate with suppliers, and support follow-up activities

Other Tasks:

Prepare listing documents for Sales channels

Request products for activation programs, Sales, and E-commerce

Follow up on scheme & budget tracking

2. Requirements:

Bachelor's degree with 1–2 years of experience in Marketing Administration within FMCG or multinational companies

Advanced Excel skills with strong numerical ability

Good command of Microsoft Office and English reading skills

Strong stakeholder management and cross-functional communication skills

Integrity, resilience, responsibility, and strong interpersonal & collaboration skills
