POSITION SUMMARY

The Brand Activation is responsible for supporting and managing local brand activation activities, including brand symposiums, congresses, sponsorships, and other internal or external meetings.

The role consists of approximately 70% Brand Activation responsibilities and 30% system-related responsibilities, ensuring activities are executed efficiently, compliantly, and in accordance with relevant policies, SOPs, and approval processes.

ROLE RESPONSIBILITIES

Brand Activation (70%)

  • Support the end-to-end management of local brand activation activities, including brand symposiums, congresses, sponsorships, speaker programs, and other meetings or events.
  • Coordinate event logistics, including accommodation, transportation, meals, attendee management, and other operational requirements.
  • Manage attendee-related activities, including assessment, registration, invitation, tracking, and reconciliation.
  • Coordinate with internal stakeholders, event agencies, and external vendors to ensure smooth and timely event execution.
  • Support supplier and vendor management, including follow-up on deliverables, service quality, performance, and issue resolution.
  • Ensure all activities are executed in compliance with relevant policies, SOPs, guidelines, and local requirements.
  • Support cost tracking, reporting, and identification of cost-saving or optimization opportunities.
  • Maintain accurate event-related documentation, reports, and activity records.
  • Support the implementation of creative, virtual, or other cost-effective meeting solutions based on business needs.

System Management (30%)

  • Create and manage system requests, ensuring all required information is accurate, complete, and submitted in a timely manner.
  • Track request and approval status and follow up on outstanding actions to ensure adherence to required timelines and processes.
  • Coordinate with relevant stakeholders to collect necessary information and resolve issues throughout the system process.
  • Maintain accurate records and documentation related to system requests and approvals.
  • Ensure all system-related activities comply with relevant policies, procedures, and compliance requirements.

QUALIFICATIONS

  • University degree in Economics, Business, Marketing, Event Management, or other relevant fields.
  • At least 3–5 years of experience in event organization, brand activation, or related fields; experience in the pharmaceutical or highly regulated industry is an advantage.
  • Strong coordination and stakeholder management skills, with the ability to work effectively with internal teams, agencies, and external vendors.
  • Good attention to detail and ability to manage multiple activities and deadlines simultaneously.
  • Strong compliance mindset and experience working with structured processes and approval requirements.
  • Good communication and problem-solving skills.
  • Able to work under pressure and support events outside normal working hours when required.
